Moving from ClientBase
Moving a long-lived book out of ClientBase
A client book that took years to build deserves a careful move. Here is exactly what carries over, what you'll retype, and how to rehearse the whole thing against a sample agency before anything real moves.
The mechanics
What moves, and how
Step 1
Your client book — imported
Get your contacts into a Google Contacts CSV export — TravelIQ reads that exact format, up to 5,000 rows at a time. Names and emails come in; anyone already in your book is skipped rather than duplicated; and any row that can't be read comes back to you by row number, with the reason.
Step 2
Trips in flight — entered with their real numbers
Bookings still in motion are entered by hand with their actual supplier rate and final-payment date. The moment one is in, the 72/48/24-hour payment alerts and the weekly commission batches treat it like it always lived here.
Step 3
Suppliers and splits — configured once
Your supplier list, each commission rate, and the agency/advisor split are set once by the owner. Every booking written after that carries its split without anyone re-deciding it.
Step 4
Advisor sites — launched one at a time
The owner launches each advisor's site when that advisor is ready. It isn't a big-bang cutover: your book can move first and your sites can follow, advisor by advisor.
Said up front
What you'll do by hand — and why we say so
Booking history
There is no sync between your old system and TravelIQ — past trips arrive only if someone types them. Most agencies bring the bookings still in motion and leave the archive where it is. If you want history inside TravelIQ, that is a typing project, and you should plan it as one.
Everything on a contact beyond name and email
The CSV import maps exactly two fields and stops. Phone numbers, addresses, preferences and notes get retyped onto the household record — where they become structured fields instead of a notes column.
We could soften both of those, and you'd find out mid-move. An import that claims everything and silently drops half of it costs more than one that tells you up front what to retype.
Rehearse the move before anything real moves
The whole platform runs in a keyless sample mode — every screen live, none of it wired to your data. Click through the booking screen and the commission ledger on a sample agency first, and move your book only once you've seen where it lands.
